We are seeking a creative, organized, and results-driven Special Events Director & Marketing professional to plan, execute, and promote high-end events centered on museum-quality items while supporting broader marketing and branding initiatives for BWH. This role combines operational excellence in luxury event production with strategic marketing to drive attendance, engagement, sponsorship, and mission impact for our non-profit.
The ideal candidate thrives in a fast-paced environment, blending meticulous logistics and budget management with creative marketing and VIP relationship-building. Primary focus is on organizing profitable, brand-enhancing events—including luxury galas, private art auctions, elite collector exhibitions, and promotional events—that showcase rare artifacts for VIP buyers, collectors, and BWH patrons, while elevating the organization’s non-profit profile.
Key Responsibilities
- Plan, coordinate, and manage events from concept to completion, including high-end galas, charity auctions, private sales, and collector exhibitions (logistics, site selection, catering, audiovisual setups, guest travel, vendors, budgets, timelines, on-site execution, and security).
- Collaborate with art curators, artisans, and internal teams to safely display and showcase museum-grade items while ensuring brand consistency and seamless delivery.
- Develop event goals, themes, master schedules, and marketing strategies that align with BWH targets; create and manage content across social media, email campaigns, the events calendar, and other channels to promote events and increase attendance/engagement.
- Secure high-value sponsors, donors, and high-net-worth buyers; build external relationships and actively sell the BWH organization and its mission.
- Set, track, and manage large event budgets, sales goals, financial plans, and ROI; negotiate vendor contracts, track spending, gather feedback, and report on key metrics and performance.
- Hire, lead, and direct event staff, security teams, vendors, and volunteers; provide clear action plans, task assignments, status updates, and completion timelines for review by the Board of Directors as needed.
- Approve events for the BWH calendar and social platforms; support general marketing efforts including campaigns, promotions, and brand-awareness initiatives.
- Collaborate with leaders, board members, community partners, and guests to ensure proper setup and coordination; perform other duties as required.
Ideal Candidate / Required Skills & Qualifications
- Bachelor’s degree in business, marketing, event planning, art history, or a related field.
- Five or more years of experience running high-end or luxury events, with demonstrated success in event planning and digital/social media marketing.
- Deep knowledge of fine art, antiques, or high-value collector items.
- Strong organizational, multitasking, project-management, and budget-management skills; ability to handle large budgets and tight deadlines.
- Excellent written and verbal communication abilities, with proven VIP client service skills and a professional demeanor, appearance, and conduct when interacting with all BWH constituencies.
