Job Title: Administrative Assistant

Supervisor: Executive Director

Location: Onsite at The Food Group Headquarters, Sheridan, WY

Position Summary

The Food Group Administrative Assistant is a responsible, enthusiastic, approachable individual who is a vital team member providing support and assistance for The Food Group Executive Director, Program Director and Operations Coordinator.

Hours & Compensation

  • 20 hours per week, Monday-Thursday
  • Hourly wage - $22.50
  • 50 weeks of the year

Essential Functions

Administration & Building Operations

  • Manage daily office functions including phone, voicemail, mail, general clerical tasks and errands
  • Assist with scheduling board meetings, maintaining calendars, and updating board materials
  • Provide support for committees and attend meetings as requested
  • Assist with data entry, donation processing, and reporting
  • Assist with building operations
  • Maintain familiarity with inventory systems 

Volunteer/Community Support

  • Serve as a welcoming and professional point of contact 
  • Assist with volunteer coordination, communication, scheduling, and tracking
  • Provide support during volunteer packing days and events
  • Assist community members needing food or resources

Communications & Development

  • Manage social media content
  • Assist with donor communications and fundraising tools
  • Assist with donor and volunteer recognition, fundraising activities, and events

  • Support fundraising, events, and board-related functions

Job Requirements

  • Proficient in Google Workspace and Microsoft Office Suite
  • Comfortable managing phone, mail, and general communications
  • Accuracy in data entry with strong attention to detail
  • Competency in basic tech troubleshooting and learning new systems
  • Ability to assist with board materials and scheduling

Education & Experience

  • High school diploma or GED required
  • College degree preferred
  • Relevant administrative experience preferred
  • Experience with social media platforms and basic design tools (Canva) preferred
  • Experience with database systems a plus
  • QuickBooks or bookkeeping experience is desired but not required

Additional Requirements

  • Ability to lift 40 pounds
  • Valid driver’s license and reliable transportation
  • Ability to pass a criminal background check
