Venue Rental Coordinator

Position Overview:

The Tate Pumphouse in Casper, WY seeks a dynamic and cheerful Venue Rental Coordinator to manage venue bookings and front-end client interactions. This independent contractor will work remotely, serving as the welcoming first point of contact for all venue inquiries and ensuring a seamless rental experience from inquiry to invoicing.

Key Responsibilities:

• Respond promptly and professionally to all venue rental inquiries via phone and email
• Provide exceptional customer service to prospective and current clients
• Draft tailored rental agreements based on specific event needs
• Invoice clients and assist with receivables tracking
• Promote the venue on social media platforms; collect and post client testimonials and event imagery
• Coordinate weekly meetings with the Pumphouse team to ensure alignment
• Collaborate closely with the Event Supervisor and Executive Director on event logistics, bookings, and ROI considerations
• Manage Pumphouse calendar of events to ensure proper tracking
• Offer in-person venue tours when needed
• Monitor events and gather user feedback to identify opportunities for improving the Pumphouse venue experience and overall rental process

Qualifications:

• Outstanding customer service and interpersonal skills
• Strong written and verbal communication abilities
• Experience managing social media platforms for business or nonprofit a plus
• Self-starter with a friendly, positive attitude and professional demeanor
• Ability to work with diverse individuals in a tactful, respectful manner
• Organized, responsive, and reliable—especially when working independently from home
• Capable of assessing event proposals for fit and feasibility with attention to return on investment
• Must be able to provide own reliable computer, phone, internet as required of tasks
• Presentable for in-person interactions as needed

Compensation

This is a contract position; compensation commensurate with experience and scope of services. Range = $15-25/hr.
